Missed-call text-back: how it works and how to set it up
You cannot answer every call. You might be on a roof, under a sink or in the middle of a job. A missed-call text-back sends an automatic text to the caller within moments, so the lead knows you saw the call and will follow up. It is one of the cheapest fixes in local marketing.
Why it matters
Someone with a leak, a dead furnace or a damaged roof rarely leaves a voicemail. They call the next company on the list. A quick text tells the caller you are on your way to them, and it gives you a chance to keep the job before a competitor picks up.
How it works
- A call comes to your business number and goes unanswered.
- Your phone system or CRM detects the missed call.
- An automatic text goes to the caller, usually within seconds.
- The caller can reply, and the reply lands in a shared inbox or on your phone.
- You follow up by call or text as soon as you are free.
We build this on GoHighLevel, which handles the trigger, the message and the inbox in one place. Other CRMs and phone systems offer similar features.
What to say
Keep it short, human and useful. Say who you are, that you missed the call and what happens next. Ask one easy question that helps you prepare.
- Example: “Hi, this is [Company]. Sorry we missed your call. What can we help you with? We will call you back shortly.”
- After hours: “Thanks for calling [Company]. We are closed now and will call you first thing at [time]. If this is an emergency, reply URGENT.”
Set it up so it actually helps
- Send the text from the same number people called, so they recognize it.
- Route replies to a person, and decide who answers and how fast.
- Adjust the message for business hours and after hours.
- Log each lead in your CRM so it does not disappear in a text thread.
Check consent and carrier rules
Business texting comes with rules. In the United States, carriers expect business text messaging to be registered, and messaging laws cover consent and opt-outs. Include a way to stop messages, honor it right away and follow your provider’s requirements. Rules change, so confirm the current ones with your provider or a qualified adviser before you switch it on.
What it will not do
A text does not replace a fast callback. It buys you a little time and keeps the lead warm. The lead still goes to the company that calls back well. Track how many missed-call texts turn into replies and booked jobs so you can tell whether it works for your business.
